Payslips: what's on them and how employees see them

Updated 2026-11-07

What it is

A payslip is the monthly statement of an employee's pay: earnings, deductions and net pay for one month. PunchMe creates one for every employee in a payroll run. Employees can see it in the app once the month is finalized.

Who uses it

  • Employees see their own finalized payslips in the PunchMe app.
  • payroll.view: see every payslip of a run on the Payroll page and open it with View.
  • payroll.manage: change a payslip with Adjust.

Payroll needs company-wide access. See Roles and permissions.

Where to find it

Employees: in the app, open Profile and scroll to Payslips. Each month shows the net pay. Tap a month to open the payslip. See Employee app.

HR: open Payroll, pick the month, and click View next to an employee in the Payslips table. The payslip opens in a new browser tab.

What's on a payslip

SectionWhat it shows
HeaderCompany name and address
MonthPayslip for YYYY-MM, plus the revision number if it was corrected
EmployeeName, employee code and designation
DaysDays in month, paid days and LOP (loss of pay) days
EarningsEach salary component, prorated on paid days, plus arrears, statutory bonus, overtime, expense reimbursements, earning adjustments, and exit payouts such as leave encashment and gratuity
Earnings totalGross pay
DeductionsPF, ESI, professional tax, LWF, TDS, loan or advance recovery, and deduction adjustments
Deductions totalAll deductions
Net payGross minus deductions. This is the amount paid to the bank

Only lines with an amount appear. For example, an employee not in ESI has no ESI line.

What a payslip does not show:

  • Employer contributions such as employer PF, ESI or gratuity provision. HR sees these in Statutory totals on the Payroll page.
  • PAN, UAN, bank account or leave balance.
  • Year-to-date totals.

See Statutory compliance for how each deduction is worked out.

Turning it on or off

There is no setting. Payslips are created by every payroll run. Employees see them only after the month is finalized.

What happens when it's on / when it's off

Draft month. Payslips exist and HR can view and adjust them. Employees can't see them. The app shows nothing for that month.

Finalized month. Employees get a "Payslip ready" push notification and the payslip appears in the app. See Notifications.

Changing it midway

Before finalizing. Click Adjust to add, change or remove one-off earning or deduction lines. Each line needs a name and an amount. You can have up to 20. Or fix the source data and click Re-run draft. Adjustments survive a re-run.

After finalizing. Click Adjust, make the change, and enter a Reason for correction (at least 3 characters). PunchMe:

  • keeps the previous version with your reason,
  • recalculates the payslip, including PF, ESI, PT and TDS,
  • adds 1 to the revision number, shown as rev 1 on the Payroll page and "revision 1" on the payslip,
  • shows the employee the corrected version in the app.

The correction recalculates the slip with current salary, attendance and leave data, and the employee gets an in-app and push notification with your reason. Check whether the salary was already paid. A correction does not change a bank file or payout that was already made. See Payroll.

Downloading and printing

HR: open the payslip with View and use your browser's print option. Choose "Save as PDF" to keep a copy.

Employees: the app shows the payslip on screen. There is no download or print button for payslips in the app yet. An employee who needs a PDF can ask HR for one.

Limits and edge cases

  • The app shows the last 36 finalized payslips.
  • Payslips are in English. Amounts are in ₹ with two decimals.
  • The month is shown as a number, for example 2026-10.
  • A daily or hourly paid employee has a single wage line, such as "Wages (22 days × ₹800)", in place of the usual components.
  • In the exit month, leave encashment and gratuity appear among the earnings and are part of gross pay on the payslip. They are not taxed. See Statutory compliance.
  • If the exit month's loan recovery is larger than pay, only what pay covers is recovered; net pay is never negative.
  • An employee who signs in to the app on a new phone sees the same payslips. Nothing is stored only on the phone.

Common questions

Why can't my employee see this month's payslip?

The month is not finalized yet. Payslips appear in the app only after HR clicks Finalize on the Payroll page.

An employee says their payslip is wrong. What do I do?

Check their attendance, leave and salary structure for that month. If the month is still a draft, fix the data and click Re-run draft. If it is finalized, click Adjust and enter a reason.

What does "revision 1" mean?

The payslip was corrected once after the month was finalized. The earlier version is kept in PunchMe with the reason.

Can employees download a PDF?

Not from the app yet. HR can open the payslip in the dashboard and save it as a PDF from the browser.

Why does the payslip show LOP days?

LOP (loss of pay) days are days the employee is not paid for: absences, half days (counted as 0.5), unpaid leave, and days before joining or after leaving. See Absent and half day.
